QuickDiary ("we", "us") is a UK-based service that answers missed business calls, books appointments, and sends review requests on behalf of the businesses that subscribe to it. This policy explains what information we collect, why, who we share it with, and how we look after it. Contact us any time at hello@quickdiary.co.uk.
If you buy QuickDiary: your name and email address (collected by Stripe at checkout), and the details you give us on the setup form — your business name, mobile number, opening hours, your chosen greeting, and whether you've switched on review requests. We also record the IP address the form was submitted from, to protect against abuse. We never see or store your card details — payment is handled entirely by Stripe.
If you call a business that uses QuickDiary: when the service answers a call on a subscriber's behalf, the call is processed and transcribed so the booking can be made. That means we handle the caller's phone number, what they said, and the appointment details (name, contact number, the job, the time). We handle this information on behalf of the business you called — they remain responsible for their customer relationships, and we act on their instructions.
If you just visit this website: our web server keeps standard access logs (IP address, pages requested). The site itself sets no tracking cookies. Fonts are loaded from Google Fonts, which means Google receives your IP address when the page loads. If you proceed to checkout, Stripe applies its own cookies and privacy policy on its pages.
We do not sell personal information, and we don't use it for third-party advertising.
We use a small number of service providers to run QuickDiary, and information is shared with them only as needed to deliver the service, always over encrypted connections:
Beyond these providers, we disclose information only if the law requires it.
All pages and connections use TLS encryption. Your information is stored on our own server in the EU, with access restricted to the people who run QuickDiary. Card details never touch our systems. Call recordings and transcripts are kept only as long as needed to deliver the service and support your bookings.
Account and booking information is kept for as long as you're a subscriber, and for a short period afterwards to handle any final billing or queries. If you cancel and want your information removed sooner, email us and we'll delete what we're not legally required to keep.
Under UK data protection law you can ask us for a copy of your information, ask us to correct it, delete it, or limit how we use it. Email hello@quickdiary.co.uk and we'll respond within a month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ico.org.uk).
If we change this policy, we'll update this page and the date at the top. Significant changes will be flagged to subscribers by email.
